Derbyshire Festival 2026 – Booking Terms & Conditions

These terms apply specifically to Derbyshire Festival 2026 bookings made through Somerford Park Farm.

1. Booking confirmation and allocation

  • All bookings are subject to review by the Somerford Park Farm admin team.
  • Your booking is confirmed once it has been accepted and your confirmation has been issued.
  • Stabling, pods, hook-up and related items are limited and allocated by Somerford Park Farm.
  • Bookings are generally processed in the order they are received and paid for, so early booking is recommended.
  • Specific stable numbers, pod numbers, hook-up positions, parking spaces or exact allocations cannot be guaranteed.
  • We will always try to take account of any notes or requests, but these cannot be guaranteed.
  • Final stable and pod allocations are usually confirmed shortly before the event and may occasionally need to be adjusted.

2. Competitor stabling and showground access

  • Stable bookings must relate to the horses included in the booking.
  • Stables must be skipped out and left clean on departure.
  • Any damage caused to stables may be charged to the hirer.
  • All stabling arrivals must arrive on the showground before 8:00pm.
  • If you expect to arrive late or are delayed, please contact the Stable Manager as soon as possible on 07774 359484.
  • The Stable Manager’s Office is open daily from 8:00am to 8:00pm and should be your first point of contact for any stable-related queries during the event.

3. Horse health, welfare and biosecurity

  • All horses brought to site must be fit to travel and suitable to attend the event.
  • By bringing a horse onto site, you confirm that vaccinations are up to date and the horse is not showing signs of infectious or contagious illness.
  • Spot checks may be carried out.
  • Competitors remain responsible for the welfare, care and supervision of their horses at all times.
  • Horses showing signs of illness must not be brought onto site, and any concerns must be reported to the Stable Manager immediately.
  • Somerford Park Farm reserves the right to refuse entry or request immediate departure where a horse presents a health, welfare or biosecurity concern.

4. Camping pods

  • Camping pods are allocated by Somerford Park Farm.
  • No dogs are permitted in camping pods under any circumstances.
  • Pods must be left in a clean and tidy condition.

5. Electric hook-up

  • Electric hook-up must be booked and paid for in advance.
  • While we endeavour to supply the hook-up booked, Somerford Park Farm cannot accept responsibility for loss, interruption of supply, or resulting inconvenience.

6. Vehicles and parking

  • All vehicles must be declared as part of your booking where required.
  • Vehicles must be parked in designated areas only and must not obstruct access routes or other users.
  • All vehicles must be driven slowly and with care at all times, giving priority to horses and pedestrians.

7. Dogs

  • Somerford Park Farm operates a no dogs policy across the site.
  • For Derbyshire Festival only, dogs are permitted on the showground if kept on a short lead, under full control, and cleaned up after immediately.
  • No dogs are permitted in or around buildings, arenas, or within any accommodation including pods.

8. Site safety and conduct

  • All visitors must follow site signage and any instructions given by Somerford Park Farm staff.
  • Children must be supervised at all times.
  • Visitors must behave in a safe, respectful and considerate manner.
  • We reserve the right to refuse entry or require any person to leave the site if behaviour is unsafe or inappropriate.

9. Photography, filming and social media

  • Photography and filming may take place during Derbyshire Festival for event and promotional purposes.
  • By attending the event, you acknowledge that you, members of your party, and horses in your care may appear in photographs, video footage or other media.
  • This content may be used by Somerford Park Farm in print, online, on social media, and in future promotional material.
  • Visitors may share their own content responsibly but must not post anything unlawful, misleading, or harmful to the event, its staff or other attendees.

10. CCTV

  • CCTV operates across the site for safety and security purposes.

11. Liability

  • All persons attending the site do so at their own risk.
  • Somerford Park Farm accepts no responsibility for loss, damage or injury except where required by law.
  • Visitors are responsible for their own safety, their vehicles, and the horses in their care.

12. Cancellations and refunds

Before close of entries
Full refund less a £20 admin/processing charge.

After close of entries but before the start of the event (midday on Friday 5th June 2026)

  • Stables and pods will be refunded only if we are able to re-sell the cancelled booking (fully or partially)
  • Hook-up, shavings and haylage will be refunded according to booking status
  • Refunds for stables and pods may be processed progressively if items are re-sold
  • An admin/processing charge may apply per booking

After the start of the event
No refunds will be issued.

No-shows / non-arrival / non-use
No refunds will be issued.

13. Event changes or cancellation

  • In the unlikely event that Derbyshire Festival is cancelled or significantly altered, appropriate arrangements will be made.
  • Where applicable, refunds will be provided.

14. Amendments

  • Somerford Park Farm reserves the right to amend these terms where necessary.
