We aim to maintain a safe, clean, and professional environment for all visitors. By making a booking, you confirm that you have read and agree to the following terms.
Somerford Park Farm – Booking Terms & Conditions
By making a booking with Somerford Park Farm, you confirm that you have read, understood, and agree to be bound by these Terms & Conditions.
1. General Site Rules
- NO DOGS are permitted anywhere on-site for health and safety reasons.
- Any customer or visitor who brings a dog onto the site will be liable for a £100 charge, payable immediately.
- NO bikes, electric scooters or similar are permitted anywhere on-site.
- NO access to livery yards without prior arrangement.
- An adult aged 18 or over must remain on site at all times when any minors are present. This adult accepts full responsibility for the child’s behaviour, safety and compliance with these Terms.
- Whilst we do not set a fixed minimum riding age, by making a booking you confirm that you are satisfied that all riders in your party are physically and mentally capable of safely taking part in the activity booked.
- All site signage and any instructions given by Somerford Park Farm staff must be followed at all times.
- Any queries or concerns must be reported to the office immediately by phone so our staff can assist.
- All litter must be removed.
- You must respect all facilities, equipment, and other users at all times.
- CCTV is in operation across the site for safety and security purposes.
- Any on-site vehicle assistance (e.g. towing) is subject to a minimum call-out charge of £50.
2. Rider & Horse Requirements
- Riding hats and protective clothing must conform to current British standards.
- It is your responsibility to ensure hats and body protectors are up to date, in good condition and correctly fitted.
- The horse complies with our 12-month flu vaccination policy (passports may be spot-checked).
- The horse is from a disease-free yard.
- There have been no confirmed strangles cases on the yard within the past 8 weeks.
- There is no outstanding veterinary advice preventing the horse from travelling or taking part in the intended activity.
If we believe a horse presents a disease or welfare risk, we reserve the right to refuse entry or require you to leave the site immediately, without refund.

3. Use of Facilities & Liability
- Use of all Somerford Park Farm facilities is entirely at your own risk.
- Somerford Park Farm accepts no responsibility for loss or damage to property, and only such liability for death or personal injury as cannot legally be excluded under UK law.
- You are responsible for your own safety, the safety of any minors under your supervision, and the safety and control of any horses you bring on-site.
- By booking, you confirm that you and anyone riding or leading a horse in your booking are suitably experienced and capable for the activity booked.
- We reserve the right to ask any rider or visitor to stop or leave immediately if safety becomes a concern.
4. Facility Hire – General Conditions
- Bookings are strictly within the allocated time only, except for the farm ride where end time depends on average pace when following the marked direction at all times.
- No early access to any facilities is allowed.
- If you arrive late, your session will not be extended and you will not be entitled to a refund or credit for lost time.
- Some facilities operate on a shared-use basis (including XC Schooling, XC Technique arenas and the Farm Ride). Maximum numbers apply to ensure safety and a positive experience; however, multiple bookings may take place at the same time.
- All riders must ride considerately, maintain safe distances and adjust pace appropriately to conditions and other users.
- Any concerns should be reported to the office immediately by phone so staff can assist.
- Show jumps and other equipment must be left as found unless otherwise agreed.
- Poles must be left off the ground where provided and equipment should be returned neatly with poo picking tools placed beside muck skips.
- All damages and breakages, however minor, must be reported to the office during your booking.
- Do not walk horses across grass where specific access routes are marked.
- Use hardstanding tracks and designated access routes to and from the arenas at all times.
5. Arena Hire – Droppings Policy
- We operate a strict droppings policy to protect the quality of our Andrews Bowen Pro-Wax surfaces.
- All droppings, no matter how small, must be removed from all arenas, with the sole exception of the Ash Arena.
- Do not ride through droppings. We prefer that you remove small amounts of surface rather than leave any remnants of droppings.
- If you are using a shared arena, all riders using that arena during the time slot have a joint responsibility to ensure it is fully poo picked.
- Every booking must include one person on foot to poo pick – there is NO EXCEPTION to this rule.
- Poo picking must be carried out immediately each time droppings occur, not at the end of the session.
- Any droppings left will result in no-one receiving their refund in that time slot.
- Any concerns regarding other users within your slot must be raised immediately by phoning the office during the booking to avoid charging all users unnecessarily.
- Arenas are inspected after each booking by our grounds team, who report directly to the office.
- Poo picking deposits are only refunded where the arena passes inspection.
- The office acts on the instruction of the Groundsmen only; their decision regarding cleanliness and deposit refunds is final.
- Deposits are refunded automatically to your online booking account as wallet credit. To request a refund in a different format, you must contact the office.
6. Farm Ride Rules
- As with the rest of the site, NO DOGS are permitted on the Farm Ride.
- No walkers are allowed on the Farm Ride route, other than for a safety reason (e.g. someone on foot accompanying a nervous rider).
- You must follow directional arrows at all times.
- Do not ride the route in reverse.
- Do not loop back to repeat fences unless this is explicitly permitted and safe to do so on the day (check with the office if unsure).
- Only jump obstacles that are suitable for your and your horse’s ability.
- Ride at a controlled pace and do not overtake or crowd other riders at fences.
7. Instructors, Clinics & Group Use
- If you engage an instructor (including for privately organised sessions), you are responsible for ensuring they are suitably qualified and insured for the activity being undertaken.
- Different or additional terms may apply to clinics, camps, competitions, or exclusive hire. Where written event-specific terms differ from these Terms, your written event-specific agreement will take priority.
8. Parking & Vehicles
- Horseboxes and trailers must be registered with the office at the time of booking for safety reasons.
- Failure to register may result in you being unable to use the facility, without refund.
- All vehicles must be parked in designated areas only.
- Do not obstruct access routes, emergency exits, or other users.
- Drive slowly and with care at all times.
- Give way to horses and pedestrians.

9. Bookings, Payments & Cancellations
- Booking is essential for all facilities.
- Your booking is not confirmed until payment has been received, unless otherwise agreed in writing.
- More than 14 days’ notice:
- Full refund or free transfer to another available date (subject to availability).
- 7–14 days’ notice:
- 50% refund, or transfer to another date (subject to availability).
- Less than 7 days’ notice:
- No refund. Transfer may be offered only if your slot is rebooked.
- Wallet credit may be offered at our discretion on a case-by-case basis.
- For show jumping or flatwork arena bookings on a weekends or Bank Holidays, cancellations with less than 24 hours’ notice will be charged in full, regardless of the standard notice periods above. Exceptions may only be offered at our discretion on a case-by-case basis.
- Failure to attend without notice will result in the full hire fee being forfeited.
- No refund, transfer, or credit will be issued for no-shows.
- We may cancel or modify bookings due to weather, safety, operational reasons, or other circumstances outside our control.
- If we cancel your booking, you will be offered either:
- A full refund, or
- A rescheduled booking at no extra cost (subject to availability).
- We will provide as much notice as is reasonably practicable in the circumstances.
- We are not liable for any additional costs incurred (e.g. travel, accommodation).
- Cancellations must be made via the office (office@somerfordpark.co.uk 01260 299 888)
- The date and time of receipt of your email or phone call (as received by our server) determine your eligibility under the cancellation policy.
- Different terms may apply to group bookings, camps, competitions, or exclusive hire, including overnight facilities booked through a specific online consent form.
- Where separate written terms are provided during the booking process, those terms take priority for the relevant booking.
10. Breach of Terms
- We reserve the right to refuse entry or require any person to leave the site immediately if they:
- Breach these Terms, or
- Behave in an unsafe, abusive or unacceptable manner.
- Where you are asked to leave due to breach or misconduct, no refund or credit will be due for any unused portion of your booking.
11. Social Media
Somerford Park Farm acknowledges that social media platforms and online forums provide users with opportunities to share experiences and engage in discussion. While users are welcome to create and share content relating to their visit, the use of social media must be conducted in a responsible, lawful, and respectful manner. To protect the interests of Somerford Park Farm, its staff, clients, and other visitors, the following requirements apply:
- Users may share lawful and appropriate content relating to their experience at Somerford Park Farm.
- Users may tag Somerford Park Farm in social media posts and may use the hashtag #somerfordeffect.
- Users must respect the privacy of others and obtain consent before capturing, using, or publishing images, videos, or other identifiable information of any individual.
- Users must comply with all applicable copyright, intellectual property, and data protection laws when creating or sharing content.
- Users must not disclose, publish, or share any confidential, proprietary, or sensitive information relating to Somerford Park Farm, its staff, clients, contractors, or business operations.
- Users must not photograph, film, or otherwise record individuals without their explicit consent, nor publish such material on any platform without consent.
- Users must not post content that may reasonably be considered harmful to Somerford Park Farm’s reputation or that is defamatory, discriminatory, unlawful, or otherwise inappropriate.
- Users must not use Somerford Park Farm’s logos, trademarks, or other intellectual property without prior written permission, except where permitted by law.
12. CCTV
- Request Submission: All requests for incident or accident footage must be submitted in writing.
- Agreement Required: Prior to releasing any footage, you must sign an agreement form stating that you will ensure the footage will not appear on any public domain or be shared online. This is to protect the privacy and confidentiality of all individuals involved.
- Administration Fee: A fee of £35 will be charged for processing your request. This fee covers the time required to locate the footage and arrange a suitable time for you to view it on-site.
- Viewing Arrangements: After your payment and signed agreement are confirmed, we will contact you to schedule a time for you to come and view the footage.
- Limitation of Liability: Somerford Park Farm reserves the right to deny any requests for footage that do not comply with these terms or that we believe may lead to misuse or breach of privacy.

13. Amendments
- Somerford Park Farm reserves the right to amend or update these Terms & Conditions at any time.
- The version in force at the time of your booking will normally apply to that booking, unless a change is required by law or for immediate safety reasons.
